Head Tennis Professional, West Vancouver Tennis Club

The West Vancouver Tennis Club is seeking a full-time Head Tennis Professional on a contract basis.  The new Pro will be responsible for providing Club Members with high quality tennis instruction, and for developing a roster of tennis events, programs and activities suited to the membership needs.   The successful candidate will be an organized, energetic, motivated professional committed to delivering excellent customer service.

Experience:

  • At least 5 years developing tennis programs for adult and junior players at all skill levels
  • At least 5 years supervising a staff of assistant coaches
  • Proven success in organization and execution of a variety of tennis programs, events and tournaments in a private club setting
  • Prior experience in preparing budgets and reports for club programs and events
  • Club pro II and Coach II certification, active status, as defined by Tennis Canada, an asset.
  • Current member in good standing of the Canadian Tennis Professionals Association.


Responsibilities:

  • Plans and directs instructional tennis programs for juniors and adult members in a professional manner
  • Organizes, administers and officiates at tournaments, exhibitions and inter- and intra-club social events
  • Administers and enforces club tennis policies and procedures regarding play on club courts
  • Develops a detailed annual calendar of tennis activities and events, and leads the promotion of such events to the membership
  • Actively contributes tennis-related content to the club website (including photos when possible)
  • Selects, trains, supervises and evaluates the tennis staff
  • Develops a budget for tennis coaching services and takes corrective action as necessary to help assure that budget goals are met
  • Maintains an accurate record of all lessons and clinics given; provides written reports to the Coaching Director on a monthly basis
  • Ensures that all club members and guests receive courteous, prompt and professional attention to all their tennis needs
  • Maintains a close working relationship with other club professionals and the members of the Board

Compensation: Competitive and commensurate with experience.

West Vancouver Tennis Club:

Established in 1925, the West Vancouver Tennis Club is a 5 court facility which is covered 6 months of the year with over 450 adult members and 150 junior members. The West Vancouver Tennis Club (WVTC) is a not for profit club that operates on leased land from the Municipality of West Vancouver.

The club operates under the direction of 9 Board members, and employs a full time manager, several part time desk clerks and coaching services on contract.  The Club has a robust Juniors program, and has active inter-club League play and competitive and social play.

  • Between 15-20 hours of coaching work per week. At a ratio of 6 students per 1 coach. 
  • Responsibilities include providing world-class coaching and instruction to players of all ages and all skill levels while maintaining a consistent professionalism

  • Langley Tennis World teaching style is based on Progressive tennis and applicants must be willing to conform to this teaching style.

Job Summary:

Has primary responsibility to manage the day-to-day administrative operations of the UBC Tennis Centre. This includes management of the Front Desk staff, maintaining the financial records and ensuring that all transactions comply with the department and university practices. Oversees front desk scheduling and work performance. Participates in the development of new policies and procedures that can assist the UBC tennis centre with improving administrative systems and controls. Ensures procedures are in compliance with relevant government and University policies.

Work Performed:

· Responsible for the day-to-day administration of the front desk including front desk scheduling, payments for court time and courses, and delivering flawless customer service. Ensures proper controls are in place and in accordance with university policies.

· Monitors operating accounts, departmental budget and tracks expenditures and revenue throughout the fiscal year. Provides monthly revenue and expenditure variances and reconciles accounts and payroll ledgers. Provides year-end budget summaries, reports, and financial analysis to ensure expenditures are in line with budget and/or recoveries are in line.

· Manages payroll processes including timely completion and submission of time sheets for the front desk staff and sports instructors.

· Develops unit budget with approvals and involved with budget forecasting. Works in collaboration with the Director to develop unit budget.

· Supervises of front office staff cash handling.

· Manages day to day inventory and ordering of equipment, food and beverage, and products related to racquet stringing services.

· Establishes, maintains, advises and ensures compliance with policies, procedures and standards for procurement, facilities, and administrative processes.

· Assesses and ensures administrative information systems are efficient and meet the continuing needs of the unit. Researches and writes a variety of business & administrative reports and proposals. Trouble shoots problems for resolution to the appropriate office (Payroll, Financial Services, Budget Office, etc.)

· Hires, trains, supervises, evaluates and disciplines and terminates front desk staff.

· Ensures compliance to University and safety policies/procedures by monitoring or tracking procedures or by reviewing the information and by providing advice.

· Recommends and implements administrative policies, practices and procedures to ensure effective and efficient operation of the UBC Tennis Centre.

· Maintains ongoing awareness of University policies and practices; interprets policies and procedures related to the responsibilities of the position - including FOIPOP, harassment and discrimination, hiring, financial administration, and use of university systems and technology.

· Design and regularly update training manual for all front office staff.

· Supervises court booking procedures including the enforcement of cancellation policies.

· Produces tennis brochure(s) in collaboration with Tennis Director and updates website with relevant and timely information.

Qualifications:

Undergraduate degree in a relevant discipline. University degree and/or an equivalent combination of education, training, and experience. Two years of administration experience, including leadership, human resources, financial planning and budgeting, and reporting. Minimum of two years experience or the equivalent combination of education and experience. Ability to manage multiple priorities and juggle complex tasks. Proven record of meeting deadlines. Ability to provide excellent customers service. Experience managing budgets and developing and interpreting policies and procedures. Excellent organizational skills. Excellent interpersonal skills. Proficient computer skills and the ability to learn FMS and other university administrative systems.
